Fingal PPN Plenary Meeting Etiquette

Welcome to the first virtual Fingal PPN Plenary Session. This document aims to support PPN members to navigate attending this plenary session in this new format. Please find some useful information below that will clearly communicate how it is anticipated that this meeting will proceed:
- Please allow time to set up your IT equipment to access the meeting in a timely manner. If you need IT assistance to access this meeting contact Natasha Bagnall on 086 418 3355.
- It is anticipated that there will be many members attending so to eliminate background noise, we request that everyone remains on mute. Questions or comments can be articulated through the chat function and fielded to the appropriate speaker at a suitable intervals. Input from all PPN members is valued, however we request your cooperation to maintain appropriate time management for the smooth running of this event.
- If possible, when entering the meeting all participants should name themselves in full with the name of the group that they represent. For example – Joe Soap – Fingal Lane Tidy Towns. This allows for other members to clearly identify who is speaking or fielding questions throughout the plenary session. Attendees will be reminded on how to do this at the beginning of the session.
- Please be patient with other participants/event organisers and allow some grace for any miscommunications. For many attendees this will be their first time engaging in an online meeting.
- If you have difficulties with your internet connection, please feel free to turn off your camera to maintain the audio connection.
- Some items of the meeting will be pre-recorded and displayed throughout the session/on our website post plenary.
- While advisory notes are welcome at the plenary session, no voting on motions can take place at this time. All advisory notes will be recorded and discussed further at the plenary and will be brought to the next Secretariat meeting for consideration. Decisions on advisory notes will be articulated and circulated at the earliest opportunity.
- Nominations for vacancies on the Secretariat or other relevant seats will be sought before the meeting. Nomination forms/role briefs are available by contacting ppn@fingal.ie
- It is anticipated that if elections are required, that these will take place using electronic voting software. You must nominate a member of your group along with their email address in order to access your voting card. If the nominated contact does not attend the plenary session, this vote is not transferrable to another member of your group.
We hope that our first online plenary is a great success but we welcome feedback on how we can improve the format of these meeting. Please do not hesitate to get in touch with us via ppn@fingal.ie with this information.
